Who we are and what we do
Lettings Waltham Forest is Waltham Forest Council’s in-house lettings agency, which has been creating and sustaining tenancies since 2012. Being part of the local authority means that we are committed to offering a great choice of high-quality, decent homes at a reasonable cost, throughout the borough.
Lettings Waltham Forest offers two services:
- Providing a property management service for private landlords
- Managing properties under an Interim and Final Management Order
This notice explains why we ask for your personal information in relation to managing properties under an Interim and Final Management Order.
Lettings Waltham Forest are working with Camden Council to manage Interim and Final Management Order on their behalf.

Information we hold about you
Lettings Waltham Forest will collect the following information from tenants:
- Your name and contact details
- Property address
- Date of birth
- Information relating to your tenancy, such as tenancy agreements, passport/driving licence
Lettings Waltham Forest will collect the following information from landlords:
- Your name and contact details
- Property address
- Date of birth
- Information relating to your property, such as tenancy agreements, fire safety records, gas and electrical safety certificates, and insurance documents
- Evidence from on-site inspections, including photographs, and detailed notes of what was observed, fire precautions, disrepair, number and names of people living there
- Bank details
This is the minimum personal data required to manage your property.
We will only ask for personal information that is appropriate to enable us to deliver our services.
Why we need your information and how we use it
We need the information from you so that we can effectively manage your property and tenancy.
We may contact you from time to time if we have information that may effect the management of your property.
Data collected about the tenants will be used to manage their tenancy.
Data collected about the landlords will be used to manage their property and to process rent payments to them.
The Lawful basis for the processing
The lawful basis for the processing of your data is legal obligation. The processing is necessary for compliance with legal obligation we are subject to the Housing Act 2004
We will not be able to manage your property/tenancy without the personal data you provide us with.

Who your information will be shared with (if applicable)
The information regarding your property and tenancy will be shared with the licensing department at Camden Council for the management purposes of the Interim and Final Management Order.
We may also be obligated to share your personal details with other organisations, partner agencies and external regulatory partners for purposes of law enforcement and fraud and for the prevention or detection of crime, the capture or prosecution of offenders; and the assessment or collection of tax or duty.
How long we will keep your information
We will retain all records relating to your property for 6 years.
